After conducting extensive research with customers, we took your feedback to create a more customizable and powerful integration for Slack! GoodTime's updated integration for Slack takes full advantage of Slack's APIs and allows coordinators and interviewers greater visibility of your recruiting processes directly in Slack. Additionally, our newest integration allows for increased and more customized communication and automated notifications between Recruiters and Coordinators, as well as Coordinators and Interviewers.
Who is this feature built for?
The integration for Slack was built to help streamline communications between your schedulers and interviewers. In order to use this feature, customers must have access to Slack. You can find details on how to set up the GoodTime integration for Slack here.
What does it do and why use it?
The integration for Slack allows for interviewers to have more visibility into their upcoming interviews. It automates communication between RCs and interviewers by providing reminders regarding upcoming interviews, scorecards, etc. Additionally, it improves communication between coordinators and recruiters, as they are notified when an interview is queued or when they are tagged in a note. While it takes a lot of work to pull together a group of interviewers to meet with a candidate and this is typically just the fist step! Many recruiting teams also follow-up with interviewers to accept their calendar invites, remind them of their upcoming interviews, or remind them to complete their feedback. With GoodTime's integration you can automate all of the above reminders to your Interviewing team.
Shown below are the Company level Slack settings you will find within your GoodTime account at the company level (within the 'Company' settings tab) when you activate the integration for Slack. These settings allow you to activate interviewer Slack reminders, customize when they are sent, and trigger multiple reminders if necessary.
NOTE: Slack Reminders are set at the COMPANY LEVEL
NOTE ALSO: If you have an individual interviewer who wishes to opt-out of receiving Slack reminders you can disable their receipt of DM Slack Reminders within their Team member profile.
Upcoming Interview Reminders:
Can be triggered to send to an interviewer in advance of an upcoming interview event. This notification is particularly useful for interviewers who do not work from their calendar as all required details of the upcoming interview can be pushed directly to the interviewer via Slack.
It is possible for an interviewer to start a video interview and trigger their scorecard all from their Slack interviewer reminder.
Scorecard Reminders:
It is possible to set customized scorecard reminders that will send to your interviewers at times you specify after the interview concludes to remind them to submit their scorecard/feedback form.
If you set multiple scorecard reminders, the reminders will stop as soon as the interviewer submits their interview feedback/scorecard.
Accept/Decline Reminders:
Can be triggered to send when an interviewer has not accepted a calendar event. It is possible to set Accept/Decline reminders to occur for only interviews in the 'Hold' status, or for interviews in both the 'Hold' and 'Confirmed' status.
User Notifications: (click to learn more)
While Slack 'Reminders' are more focused on your interviewing team, Slack 'Notifications' have been designed to support your Scheduling team (like Recruiters and Recruiting Coordinators). Once activated (within your individual user profile in GoodTime as shown below), Slack notifications will send a DM to the user when they are either:
1) @mentioned in a GoodTime note, or
2) When queued/assigned to an interview in the dashboard.
Shown here is an example of the kind of DM you can expect to receive as an GoodTime scheduler if you are assigned to a recently queued interview. Also included in the Slack DM is any information included in the notes field when the interview is Queued.
Channel Creation: (click to learn more)
The Slack channel feature allows for GoodTime to automatically generate a Slack channel that includes all of your invited interviewers. The creation of this kind of Slack channel allows for the hiring team and all interviewers to be aligned prior to meeting with a candidate. A Slack channel also allows for Recruiters and Coordinators to send group reminders to the interviewing team.
The GoodTime Slack Channel creation feature has been designed to be as flexible as possible to support multiple use cases; Whether you want a Slack channel for a single interview, a Slack channel to support a single candidate, or a Slack channel for a specific role, we've got you covered. You are also able to automatically trigger the creation of an Slack channel in many different ways:
- Manually create new channels in scheduling flow,
- Manually create new channels in interviewer drawer,
- Trigger the creation of a new Slack channel as part of a scheduling template.
Manually create new channels in scheduling flow:
When on the the final '📋 confirmation' screen of the interview scheduling process is possible to create a Slack channel for the interview you are about to schedule by using the 'Slack Channel' tile in the bottom left of the screen.
From the Slack Channel pane you can create a new Slack channel or add details of the scheduled event to an existing Slack channel. If creating a new channel you are able to customize the channel name and the time it is created.
GoodTime will by default suggest all interviewers and the hiring team as channel members, you are able to add or remove any channel members here before the channel is created, as well as write an message to be included in the channel upon its creation.
If you have a previously scheduled interview in the GoodTime Dashboard you can easily create a Slack channel for the interview by clicking on it to open the interview drawer and then clicking 'Add Channel' in the 'Slack Channel' pane within the interview drawer.
From the Slack Channel pane you can create a new Slack channel or add details of the scheduled event to an existing Slack channel. If creating a new channel you are able to customize the channel name and the time it is created as well as adjust the channel members.
Trigger the creation of a new Slack channel as part of a scheduling template:
If you have a need to always create a Slack channel whenever a specific scheduling template is used, you are also able to automate the creation of a slack channel into a templates settings tab. This means of creating a Slack channel is perhaps most useful if you have an ongoing Slack channel used for an evergreen role and you wish to add details of any new candidate scheduled via a specific template to the ongoing Slack channel.
The Slack channel setup options are identical to those listed above when using the other manual Slack Channel creation methods, the benefit of this process being that the Slack channel will be automatically created (or the details of this interview added to an existing Slack channel) whenever the specific Interview template is used to schedule an interview.
Slack Channel FAQ:
1. What do reminder messages look like in the Slack Channel?
a.
2. What do interviewer accept and declines look like within a Slack Channel?

3. Can you remove someone from a GoodTime generated Slack channel?
a. Yes. Any members of the channel can remove others, and themselves. This action is completed directly inside Slack and not from GoodTime.
4. Can a removed person be added back? Or can I add more people to the channel?
a. Yes. Any members of the channel can add other people to the channel. This action is completed directly inside Slack and not from GoodTime.
5. Is it possible to suppress the creation of the private channel?
a. Slack Channels are only created if you choose to create them in the scheduling workflow or by adding them onto an Interview Template. If you wish, you can have a channel not be created inside of the workflow, even if it was added on a template.
6. Why do I not see an existing 'private' Slack channel?
a. While GoodTime can generate a 'private' Slack channel as part of the scheduling flow, we can only see 'existing' Slack channels that are set to 'private' if the GoodTime App/bot is first invited to that channel.
b. To add the GoodTime APP/bot to an existing 'private' channel follow these steps:
b1). Go to the existing 'private' Slack channel you want GoodTime to see.
b2). Type '/invite' to open the menu allowing you to invite and App to the channel
b3). Select the GoodTime App from the list of available Apps you have in your Slack account
b4). You should receive a message within that channel that 'GoodTime joined' the channel
b5). With the GoodTime App having been invited to this private Slack channel you should now see that channel in the available drop-down lists when you are scheduling an interview in GoodTime and choose to add notifications of its schedule to an existing Slack channel.
6. What information is included in the Interview reminders?
a. Slack channel reminders are auto generated and include:
- Title of Event and Description of Event
- Duration and Room Information (if applicable)
- Link to scorecard in ATS
7. What happens to the Slack channel after the event is over?
a. The channel will remain open to continue conversation to debrief after the interview. GoodTime (at this time) does not archive channels and leave it up to the interviewers and recruiting team to either leave or archive the channel
8. Can someone who is a contractor be on a Slack Channel created for an interview?
a. Yes, so long as they are an authorized user of your Slack workspace
