Queue - Automated Queue Load Balancing

TL;DR: The GoodTime Coordination Group function allows for you to auto-assign queued interview between all members of your defined Coordination Groups. The Auto-Assignment feature automatically distributes interviews to the right RC based on round-robin rules or each RC’s working hours. The result is fairer workloads, better SLA performance, less manual oversight, and reliable coverage across time zones or part-time schedules.

Key Auto-Assignment Features

1. Round-Robin Assignment

Evenly distributes interviews across all active coordinators in the group. Recruiter workflows stay the same—assign to the group, and the system assigns directly to the right RC based on a basic round-robin assignment.



2. Assignment Based on Working Hours

Ensures interviews are only assigned to RCs who are currently scheduled to work.

Great for:

- Global teams 

- Part-time RCs 

- Teams with varied schedules

RCs coming online later simply receive the next available assignments and GoodTime will round-robin queued interview requests based on which RCs within the Coordination Group are online



3. Scheduled Assignment (When No RC Is Working)

If no coordinator is available (weekends, evenings), the interview stays in Unassigned with an Auto badge. GoodTime checks throughout the day and assigns it automatically once the first valid RC comes online.



4. Inactive Coordinator Status

RCs on PTO, team leads who need visibility only, or anyone who shouldn’t receive assignments can be marked Inactive.

Inactive RCs: Do not receive assignments Can still view group activity if needed

 

How to Enable Auto-Assignment

Step 1 — Open the Coordinator Group

Settings → Coordinator Groups → Select a group

Step 2 — Turn On Auto-Assignment

Toggle “Automatically assign interviews.”

Choose between: Round Robin or Round Robin during Working Hours

Click Update.

Step 3 — Manage RC Availability (Optional)

Mark any RC as Inactive Adjust each RC’s working hours

Step 4 — Keep Assigning as Usual

Recruiters still assign to the Coordinator Group—nothing changes in their flow.

The system handles assignment behind the scenes.

 

FAQ

Does Auto-Assignment consider RCs in multiple groups?

Not yet. More intelligent assignment logic is planned.

What happens if no RC is available?

The interview stays unassigned with an Auto badge and is assigned once someone comes online.

Does this change recruiter workflows?

No. Recruiters continue assigning to groups the same way.
