Email Templates - Hold Emails

If your organization uses any scheduling workflows that leverage the 'Hold' feature, you may want to create a dedicated email template specifically for “Hold” notifications, separate from the final interview confirmation email.

If you do not use the 'Hold' functionality in your scheduling workflows or you prefer to use the 'Hold without email' workflow then creating a custom 'Hold' email my not be necessary. When using the 'Hold without email' workflow an interview labeled 'Hold' is placed on the interviewers calendar but the candidate is NOT notified in any way. Dedicated 'Hold' emails will only be sent to your candidate if 'Hold with email' is selected during the scheduling workflow with hold.

This feature was built to support those customers who wish to provide additional candidate communications at each stage of the scheduling process — so candidates can receive a custom message when an interview is placed on hold and a different message when it’s fully confirmed. Shown below is an example of a custom 'HOld' email you may wish to use.

HOLD interview - Generic HOLD Email

Subject: Interview Scheduling update

Dear $Candidate.FirstName,

Thank you for sharing your availability for the $Job.Name role.

We’ve tentatively scheduled your interview and are awaiting final confirmation from the interviewers you will be meeting with. Once confirmed, you’ll receive a confirmation email and calendar invite - this should be within the next 36 hours.

If you have any questions in the meantime, please do not hesitate to reach out.
