Company & Interview settings are accessible to super admin level users only.
First is on Company Settings. The Company Settings page lets you set the company logo, integrations, company calendar settings as well as other items. Reviewing and configuring settings on this page are crucial to initial setup of the GoodTime product.
Second part will be on Interview Settings. These setting will set interview settings, keyword settings and reminders on a company level.
Company Settings
Here is a written overview of each setting:
Company Profile
- Your company logo will appear in all email communications
- Your company name will be auto-populated, but can be changed, if needed
- You do not need to add a company level email or phone number, but you can add if you'd like
ATS Integration, Video Conferencing, Collaborative Coding, E-Sign & Slack Integration
- These integrations can be completed by the appropriate admin. All integration guides can be found here.
Locations
- If you do in-person onsite interviews at one or more offices, be sure to add all of those locations here. You can add the office name, address, and important instructions.
- You will be able to choose from this list when you are scheduling an onsite interview, and all details will pull into the confirmation emails & calendar invites.
Email - Automatic CC/BCC
- Adding an email here will add it as a cc/bcc on ALL emails that are sent out through GoodTime. This is most commonly used if you have an email alias that lives in the background.
Interview/Meeting Defaults
- This is how you can set up company wide load balancing. Keep in mind, this will apply to all interviewers, so it is most common to leave this at no limit on the company level. You can always set up load balancing on a team or individual level.
- Meeting buffers occur before and after each interview. So a 15 minute buffer on a 30 minute interview would require 1 hour of open white space on the interviewer's calendar. Because of this, we recommend setting this up on the individual level, by request.
General Business Hours:
- These will be the business hours your interviewers will conduct interviews in their timezone. These can also be adjusted at the team/individual level.
Meal Time
- Entering a meal time here will block GoodTime from scheduling any interviews during this time block.
Candidate Calendar
- GoodTime automatically sends candidates calendar invitations for their interviews. You will need to create a candidate calendar to house all of these candidate invites.
- Google users will need to create a calendar by following these steps and then link it here under company settings.
Company wide Calendars
- You can add any additional company calendars you would like GoodTime to read. For example, if you add "GoodTime US Holidays" and "GoodTime BR Holidays." This setting will apply to all users who are subscribed to the calendar.
Interview Settings
Here is a written overview of each setting:
Candidate Feedback after Interviews:
- The GoodTime Candidate Pulse allows for the collection of quantitative data via an NPS-style survey after each interview round to provide near-immediate feedback from your candidates on their experience of your interview process. This Pulse can also be paired with a more standard Candidate Survey to allow for the collection of qualitative feedback from your candidates via free-text answers.
Require Review before Scheduling:
- This toggle will allow you to build a stop gap for your schedulers to review and confirm the candidate’s availability before finalizing the interview if turned ON.
Allow Candidate to Suggest Times:
- This toggle will allow candidates to suggest times or to provide additional availability if their schedule doesn’t match your team’s availability.
Add [Hold] to title of events on hold
- If you need to place calendar “holds” with interviewers until they accept or decline, this helps to identify the event is on [Hold] in their calendar events. Once the interview is confirmed, the [Hold] will disappear from the event.
Automatically Replace Declined Interviewers
- One of our latest features! This one is best utilized if you have at least 2 alternate interviewers or a tagged group listed in your interview panels, which then allows GoodTime to automatically replace an interviewer if they decline an interview calendar invite.
Add Candidate’s Resume to Calendar Event
- We can add a “Download Resume” link within the interviewer’s calendar invite so they can easily access the candidate’s calendar.
- NOTE: For global teams, if GDPR is a concern, we recommend turning this OFF.
- This setting, when toggled on, will display the Job Id (pulled from your ATS) beside the respective job title. This setting will also enable you to search by job Id.
Default Calendar Event Duration
- To set a default of interview duration of each event
Share Itinerary with Candidate
- To include an automated interview itinerary in the candidate-facing calendar event.
Below are recommended settings for this section:
Keyword Settings
Keyword Settings will tell GoodTime how to read public calendars. If your organization utilizes private calendars, please skip to the next section.
Transparent: These keywords will help us determine to read the calendar event as white space on an interviewer’s calendar. (Ex. yoga, happy hour)
Soft Conflict: These keywords will help us to give visual cues in the scheduling process but will not offer times using these keywords for candidates to choose from. (Ex. block, dns) When you’re confirming the interview these keywords will show up as yellow conflicts.
Interview Reminders
GoodTime can send interview reminders to both Candidates and Interviewers. Your team can choose who reminders are sent from, the frequency and the timeframe. GoodTime interview reminders will send in addition to any reminders automated from your ATS.
Candidate Reschedule Settings
When it comes to rescheduling, GoodTime can help automate how the candidate reschedules and allow the candidates to select new availability all in one process.
Allow Candidates to Reschedule Interviews
- If you would like to allow candidates to reschedule via GoodTime, we recommend turning this ON.
- If you turn this OFF, your candidate will have to reach out to the scheduler to reschedule their interview.
Maximum Number of Reschedules
- You can manage how many times you allow a candidate to reschedule by themselves before GoodTime requires the candidate to reach out directly to the scheduler.
Reschedule Cutoff Window
- Time prior to the start time of a confirmed interview in which the candidate can reschedule by themselves. After this timeframe, GoodTime requires the candidate to reach out directly to the scheduler.
