GoodTime’s Training Feedback Automation feature streamlines how you manage interviewer training programs. With this automation, training coordinators can collect trainee feedback, manage re-training, and advance candidates through training paths all automatically. This update is part of our ongoing effort to remove manual overhead, add quality control and create a smoother training experience for both coordinators and trainees.
Whether you're running reverse shadows, peer interviews, or onboarding simulations, this feature gives you control, flexibility, and visibility into the training process.
Key Benefits
- Time-saving: Eliminate the need to manually monitor and collect feedback for each training session.
- Reduced errors: Automations ensure that no trainee is forgotten or blocked due to a missing step.
- Objective standards: Only trainees who meet 100% of the criteria (via unanimous positive feedback) advance.
- Automatic next steps: Trainees can be re-enrolled or advanced based on preset rules, minimizing bottlenecks.
How It Works
1. Enable Training Feedback Automation
- Navigate to Training > Paths.
- Select an existing training path or create a new one.
- At the class or stage level, check the box labeled:
"Require training feedback before advancing to the next step." - This will automatically request feedback via email, from interviewers for trainees when they complete this class.
Note: By default, this setting is off for existing paths, so be sure to manually enable it where needed.
2. How Trainees Are Evaluated
- After each training session (e.g., a reverse shadow), all interviewers that participated with the trainee will receive an email to submit their feedback.
- Evaluators must select one of the following options:
- Move Forward
- Needs Retraining
To pass, a trainee must receive a Move Forward from all evaluators. Even one dissenting vote will trigger re-training.
ADMIN NOTE: Re-Training is only triggered when a GoodTime Admin user toggles on “Feedback Collection: Auto retake class upon failure, Automatically retake a class if trainee doesn't pass” in the System Settings.
3. Timeout and Fallback Logic
- If no feedback is submitted within 7 days, the trainee is automatically advanced to the next step. Alternatively, the training coordinator can also manually advance the candidate if the required feedback has not been received. (NOTE: This feature is customizable up to 30 days or there is an option to select “never” auto advance.)
- This helps prevent candidates from getting “stuck” due to coordinator or interviewer delays.
- Admins can view who didn’t submit feedback before the timeout to follow up and advance the candidate manually.
4. Automatic Re-enrollment
If feedback indicates the trainee needs retraining, GoodTime will:
- Insert a makeup class in the trainee’s training path (NOTE: This is a setting that must be turned on).
- Assign the same or new evaluators (based on your setup).
- Continue the loop until the trainee passes - or until the coordinator manually overrides their progress.
Notifications & Visibility
- Interviewers/evaluators receive an automated email notification asking them to submit feedback after each training session.
- Training coordinators can track:
- Which sessions are completed
- Which trainees are in re-training loops
- Feedback summaries for each trainee
This provides full auditability of the training lifecycle.
Example Use Cases
Example 1: Reverse Shadow Program
You run a reverse shadow program with 2 interviewers evaluating each trainee. Once both submit "Move Forward," the trainee progresses to lead interviews. If one votes "Needs Retraining," GoodTime Training settings allow for make up sessions to be added to the Trainee’s training path.
Example 2: Sales Onboarding Simulation
Trainees go through a sales role-play where 3 coaches observe. After the session, feedback is collected. If no feedback is given within 7 days (or x number of days, up to 30, chosen when configured by the training coordinator), the trainee automatically advances to the next stage.
Best Practices
- Use clear rubrics for evaluators so decisions are objective and consistent.
- Monitor trainees stuck in multiple re-training loops, this could signal deeper onboarding issues.
- Customize notification templates to give evaluators more context on expectations.
❓FAQ
Q: Can we limit how many times a trainee can be re-enrolled?
Currently, there’s no automatic cap on re-training attempts. However, coordinators can advance the trainee manually at any time.
Q: Are trainees notified of their feedback status?
No, trainees are not notified automatically. Feedback is for coordinator use and can be shared manually if desired.
Q: What happens if an evaluator forgets to submit feedback?
If all evaluators fail to respond within 7 days (or x number of days, up to 30, chosen when configured by the training coordinator), the system will auto-advance the trainee. You can view which evaluators were non-responsive in the admin dashboard.
Q: Can different classes in the same path use different feedback rules?
Yes. Training feedback automation is configurable per class/stage, giving you granular control.
