FAQ - Recruiting Leaderboard:
Report Rundown:
The Recruiting Leaderboard is meant to be used for the purposes of capacity planning. It offers a snapshot of individual bandwidth, calls out wins, and identifies opportunities for improvement.
- Do the leaderboards show unique interviews or the total number of events?
- The recruiting leaderboard shows how many unique interviews went through the scheduling workflow (regardless of the number of events each interview has). This is counting the number of interviews scheduled during that time period. GoodTime begins counting from when something is actioned.
- What does the benchmark line on GoodTime show?
- These benchmarks are prorated for the number of schedulers. The benchmark line shows GoodTime customers' average based on the same number of schedulers within that time period.
- When an interview in the 'Queued' or 'Hold' stage is canceled, does this cancellation count towards the recruiting leaderboard?
- Queued interviews that are canceled do not count towards the recruiting leaderboard; Interviews in the hold stage that are canceled do count in the recruiting leaderboard
- For RC coverage, if one RC sends the request availability then another RC confirms the interview, how is that tracked on the recruiting leaderboard? Who would "get credit" in this case?
- Whoever is listed as the coordinator on the interview gets the credit. If you have fully automated your scheduling process using the request availability function, then the 'credit' will be automatically assigned to the coordinator once the candidate confirms the interview. If you have 'Require Review' on, then you can change the coordinator before confirming the interview to reassign the credit
- How are the rescheduled and updated numbers calculated?
- Reschedules are based on when you click 'Reschedule' in GoodTime. If you reschedule the same interview five times, it will show as '1' on the rescheduled column (because it counts the number of interviews). The same applies to updates.
- What happens if we put an interview on hold and it never materializes?
- Once the date of the interview has passed, we begin to track this as a cancellation.
- If a candidate is marked as confidential, do they not get counted toward the Recruiting Leaderboard?
- Confidential candidates will still be counted toward the Recruiting Leaderboard. For more visibility into this, you can update confidential access for individual users under the 'Team Tab'
- Why are certain stages showing as 'No Stage' on the recruiting leaderboard?
- If the candidate is not assigned to a specific stage in the ATS, then the leaderboard will pull it up as 'No Stage'
- Why do the number of interviews in the Recruiting Leaderboard and Turnaround Time not match?
- The Turnaround Time report only considers interviews where the Turnaround Time is greater than 0. This means it factors in Queued time + Hold time + Pending Candidate Response + In Review, so long as it is greater than 0 seconds. This means that the recruiting leaderboard will include interviews where the “Schedule Now” flow was used (interviews scheduled at the same time they are created), but the Turnaround Time report will not include these.

Report Rundown:
The Interviewer Leaderboard was created for the purposes of load balancing, interviewer accountability, and capacity planning in terms of identifying and growing specific interviewer pools.
- Do the leaderboards show unique interviews or the total number of events?
- The interviewer leaderboard shows how many unique interviews the interviewer participated in during a given time period. This number shows all completed interviews.
- What does the benchmark line on the interviewer leaderboard show?
- These benchmarks are prorated for the number of schedulers. The benchmark line shows GoodTime customers' average based on the same number of schedulers within that time period.
- Why is the Monthly Interviewer count different from the number I see on the interviewer leaderboard?
- The leaderboard includes more than just those who participated in interviews (it includes declines, those who accepted and were later removed, those who had an interview covered, etc.). This also only includes interviews completed versus those that may roll over into the next month (e.g. multi-day interviews).
- If a recruiter/coordinator is added to an event, will they be considered an interviewer and added to the MAI?
- Yes, even if they are marked as optional. Best practice is to not have recruiters/coordinators added on the event unless they are actively participating in the interview.
- How do interviewer removals count towards people's totals?
- Interviews do not show up in the Interviewer Leaderboard table in the database (nor in the graphs and table in the Ul) until an interview is completed. At that time, we review each interviewer’s most recent action and store it as their final status for the interview. When we query for data for the interview leaderboard, we filter for accepted, covered, and declined event types. If their last action was being removed, they are not counted for the interview in any way.
- What happens when an interview is rescheduled and a person accepts the same interview multiple times, will that be 1 Accept, or multiple?
- The table shows 1 accept per interview, even if they accepted it 20 times
- How is the decline window calculated?
- The decline window calculated the amount of time before an event starts that the interview is declined.
- If an interviewer declines the calendar event on their calendar but 2 weeks later accepts it, how will this show up in the data?
- It would show as accepted; it's about the final action at the time the interview was done
- What happens if the interviewer never accepts or declines the interview and it is still on the calendar?
- The leaderboard will count this as an accept if they are still on the calendar event at the time of the interview
FAQ - Cancellation & Reschedule Reason Report:
Report Rundown:
The Reschedule/Cancellation reasons was created for the purposes of tracking the candidate experience as well as how your team is working cross-functionally with other departments. You can see an overview of what is driving cancellations and reschedules in your organization, as well as identify areas that require action, such as expanding interviewer pools and adherence to calendar hygiene.
- If an interview is rescheduled and ultimately canceled later in the same month, does this count towards both reschedules and cancellations?
- Yes, but each to their own date (reschedule to date of action and cancelation to date of action)
- Why can’t I view this data based on interviewer?
- This information is not available. Cancellation and reschedule reasons are tied to an interview, not a particular interviewer. We can create a custom report that includes the coordinator name.
- Is there a way to pull this data based on job departments?
- This is dependent on a variety of factors within your ATS and storage settings. If it is possible, we can create a custom report (please note that these do take 2-3 weeks to generate). Contact your CSM to see if this is possible.
- If we note an 'other' reason is documented in the notes for that candidate/interview, is there a way to be able to download this?
- Yes, we can pull these custom notes provided it is in the notes section of the interview. You would need to mark this as 'Other' for the reason and then post the reason under the 'Activity' section of the interview drawer.
- Can we customize the Cancellation and Reschedule Reasons?
- No, we do not allow these reasons to be customized. After conducting research with GoodTime customers, we determined these to be the most frequently used reasons. Additionally, by keeping a broader scope on cancellation and reschedule reasons, the data is more actionable.
