TL;DR: GoodTime has a completely customizable candidate survey feature that allows you to build custom survey questions and deliver them at different points during your candidate's interview journey. As of Jun 2024 this Candidate Survey feature is being upgraded to offer you more flexibility in how to customize and deliver your survey questions. You can find the upgraded Candidate Survey feature in Early Access with General Release scheduled for Q3 2024.
Candidate Survey (Version 1) - Setup and Use:
You can build customized candidate surveys using a question bank to collect a range of qualitative and quantitative candidate feedback. The candidate survey can be delivered (more traditionally) as a large survey at the end of a candidate's recruiting process or as 'micro-surveys' throughout the candidate's journey. Customer data has demonstrated that the delivery of micro-surveys throughout the interviewing process has led to increased candidate response rates. Should you choose to link a candidate survey with an interview template the survey will always be delivered immediately after a candidate pulse in a seamless manner (meaning you can use the candidate pulse feature without candidate surveys but not vice versa). Results from your candidate surveys will appear for download within your Insights tab as soon as enough data has been collected to guarantee anonymization. The candidate survey feature is available to all customers.
1. Activation: To utilize the candidate survey feature you need to first activate the candidate pulse feature (by toggling on the 'Collect Candidate Feedback after Interviews' setting within the 'Interview Settings' tab as outlined above). While the candidate pulse will sent to all candidates after every interview round, you can create customized candidate surveys and choose when you want them to be sent by attaching surveys to specific interview templates.
2. Setup - Survey Creation:
2a. You can create candidate surveys by going to the Settings > Candidate Surveys* tab on the Settings page and clicking on the 'Create Survey' button. NOTE: The 'Candidate Surveys' tab is only available to Super Admin users.
2b. Create a new survey by clicking the + Add a Question button and selecting from the question bank. Continue to add as many questions as necessary.
2c. Give your survey a title so you can identify it later.
- BEST PRACTICE: If you are creating a survey to support a specific Interview or Base Template then we recommend naming your candidate survey to reflect the template/role or interview stage you plan on linking the survey to to make for easier identification elsewhere in the platform.
- NOTE: You are also able to create a folder to help you neatly file the Candidate Surveys you create
- Once you have completed your survey be sure you click 'Save Draft' in the top right.
2d. Activate Survey once you are ready for your survey to be shared with candidates
- Surveys can only be modified and edited when in draft mode.
- A survey cannot be deactivated and edited. This is done intentionally to ensure that once a survey is activated and linked to a template you can deliver a consistent set of questions to all candidates and analyze your received responses/data in a consistent manner.
3. Setup - Link Surveys to Templates: You can see and add surveys on any Base or Interview scheduling template. You can do this by going to Settings > Scheduling Templates and selecting the template you wish to link a candidate survey to. Once you have open your selected template, select the Candidate Survey tab, click '+Add Survey Template' and you will see a list of active survey templates you can choose to add to the template. Select the survey and click Save.
4. Data Collection Process: After a candidate completes the interview for any template that has a linked survey they will immediately receive the survey via email. NOTE: The candidate survey will be delivered immediately after they first provide a 1-click response to the candidate pulse.
- If the candidate does not submit feedback, they will be sent a reminder email 3 days after asking them to provide feedback on their interview. A Candidate feedback reminder email will only be sent once.

5. Data Review: All candidate survey data is provided via a downloadable .csv file. Once GoodTime has collected enough candidate feedback to guarantee anonymity you will be able to download a copy of the collected survey data directly from within the GoodTime Insights tab. You can download collected survey data by going to Insights > Candidate Surveys and clicking 'Request Download'. Refresh the page and you can then download your survey results in a .csv file by clicking 'Download CSV'.
- GoodTime takes candidate privacy seriously and as such, all surveys use a double-blind anonymization process; that is we will not only remove candidate names from any feedback provided but will also implement an embargo period that does not share data back into the insights tab until we have a large enough sample size to guarantee anonymity. The embargo period will vary in length based on the response rate to your specific survey.
- The downloaded data will not refer to the candidate who submitted it. Using a clear naming convention for your survey titles will assist in helping you to identify the specific interview or base template to which the received responses relate.
- When you have collected multiple months of data you will be in a position to assess changes in candidate sentiment as it relates to the linked interview or base templates.

- How many surveys can we create?
You can create as many surveys as you want. You can customize the order of your questions and choose which questions the survey will contain. - Can we create custom survey questions?
Yes, through the Forms menu you are able to create completely custom questions to support your unique business case. - Why are the survey .csv reports I download empty with no results?
You will only be able to see candidate survey feedback after enough data has been collected to guarantee anonymity. If you know candidates have submitted feedback but cannot see it inside the .csv, we still require additional candidate responses before we can release this data into the .csv report. - Can the feedback emails and email reminders be customized?
At this time we do not offer a way to customize the feedback request emails. These emails contain your company branding and the initial survey will be delivered immediately after the candidate finishes the interview (based on the end time of the interview). A reminder email will also be sent to candidates 3 days after the interview if they have not provided feedback. We only send one reminder. - Can we add surveys on Base templates?
Yes, you can save a candidate survey at the base template level. This will allow all newly created interview templates to automatically have the survey attached. It may also be valuable if you wanted to establish an ongoing process of assessing 'top of funnel' interview processes by establishing a standard Candidate pulse survey for all Hiring Manager or Recruiter Screen interviews for instance. - Can we download all survey results into one .csv file?
No, you can only download individual survey results at this time and not at an aggregate level at this time. Attached to this help article is a demo of what your downloaded Candidate Survey .csv may look like.
