This article provides an overview of the 'Cancellation & Reschedule' report in GoodTime's Insights Tab
The Reschedule/Cancellation reasons was created for the purposes of tracking the candidate experience as well as how your team is working cross-functionally with other departments. You can see an overview of what is driving cancellations and reschedules in your organization, as well as identify areas that require action, such as expanding interviewer pools and adherence to calendar hygiene.
Cancellation & Reschedule Report in Detail
Metrics Explained:
This report provides a consolidated view of all of the Cancellation and Reschedule reason that are reported by your scheduling team as they conduct their daily scheduling. It is worth noting that this report shows lagging data (that is data of things that have already occurred) and that the data reported here is only ever as accurate as the information reported by your scheduling team.
We recommend that if you would like to take advantage of the GoodTime Cancellation and Reschedule reason report that you intentionally align your scheduling team on how to report specific instances of interview cancellation or reschedule in order to ensure the accuracy of the data you are collect.
Graph Overview:
At the top right of the Cancellation & reschedule report you will see a simple donut graph that consolidates all collected cancellation and reschedule reasons over the time period indicated.
The donut graph to the left of the screen shows an overall view of combined Cancellation and Reschedule reasons. The two donut graphs to the right display the collected cancellation and reschedule reasons separately.
Filter Options:
- Date Range: At the top right of the graph you will see the date range picker. The default date range for the data presented on this tab is the past month. Based upon the quantity of data you have available within GoodTime you are able to extend the date range to provide a view of a larger time frame.
- Coordinator: This filter will allow you to distill the displayed donut data too show individual coordinators. This field can be particularly useful in assessing the common reasons an individual coordinator will use when cancelling or rescheduling an interview. This is valuable in maintaining data accuracy or perhaps in seeing trends between the different teams each coordinator supports.
- Job Title: Filtering by job title will allow you to see only instances of interview cancellation or reschedule associated with a specific role (or roles) present only schedulers that have the assigned tag.
Table Overview:
The table below the graphs simply represents a tabulated view of the data displayed above and will respond to any filters applied at the top of the page. If you wish to interrogate this data further we recommend downloading the data as a .csv in order to further manipulate or graph it in a way that better support your needs. The table view provides a useful way to preview your data prior to downloading as a .csv.
FAQ - Cancellation & Reschedule Reason Report:
- If an interview is rescheduled and ultimately canceled later in the same month, does this count towards both reschedules and cancellations?
- Yes, but each to their own date (reschedule to date of action and cancelation to date of action)
- Why can’t I view this data based on interviewer?
- This information is not available. Cancellation and reschedule reasons are tied to an interview, not a particular interviewer. We can create a custom report that includes the coordinator name.
- Is there a way to pull this data based on job departments?
- This is dependent on a variety of factors within your ATS and storage settings. If it is possible, we can create a custom report (please note that these do take 2-3 weeks to generate). Contact your CSM to see if this is possible.
- If we note an 'other' reason is documented in the notes for that candidate/interview, is there a way to be able to download this?
- Yes, we can pull these custom notes provided it is in the notes section of the interview. You would need to mark this as 'Other' for the reason and then post the reason under the 'Activity' section of the interview drawer.
- Can we customize the Cancellation and Reschedule Reasons?
- No, we do not allow these reasons to be customized. After conducting research with GoodTime customers, we determined these to be the most frequently used reasons. Additionally, by keeping a broader scope on cancellation and reschedule reasons, the data is more actionable.
