This article provides an overview of the GoodTime 'Recruiting Leaderboard' Insights report.
- The GoodTime 'Recruiting Leaderboard' captures a record of all the recruiting actions performed by your scheduling team within the GoodTime platform.
- This report is valuable in providing a visual overview of how many interviews each of your team is scheduling (or rescheduling, updating, or canceling).
- This report defaults to showing recruiting actions by day but can be filtered to provide a broader overview or more specific data when filtered by individual scheduler, role, tag, or date.
Recruiting Leaderboard Report in Detail
The 'Recruiting Leaderboard' provides you with a visual overview of the different recruiting actions (defined as schedules, reschedules, updates, or cancels) that each scheduler on your team performs over a specific period. This article provides greater context around those items you see listed on your Recruiting Leaderboard within the GoodTime Insights Tab.
Metrics Explained:
This report provides insight into the quantity of different recruiting actions performed by your scheduling team - This report shows only actions that have already occurred. By default, this data is displayed in the column graph as daily quantities of recruiter actions across your whole team over the past month. This is further presented in the table by individual scheduler (the scheduler being whichever person is assigned the 'coordinator' role within GoodTime when the recruiting action takes place). Note: The table will dynamically update based on any filters you have applied. Also, note that the underlying data presented is refreshed daily so at any given time should be at most 24 hours old.
Graph Overview:
Date Range: On the top right of the graph you will see the date range picker. The default date range for the data presented on this tab is the past month. Based upon the quantity of data you have available within GoodTime you are able to extend the date range to provide a view of a larger time frame. Depending on how large your date range is, you will have access to different grouping options. For example; if looking at a month's worth of data you can graph daily or weekly. If looking at a year's worth of data you can graph weekly, monthly or quarterly.
Filter Options: on the top left of the graph you will see the filter field. The filter option field allows you to draw upon the basic filters you have within your GoodTime platform to further refine the data you wish to display. The most common filtering options are as follows:
- Name: Filter by the name of any person who was assigned as 'Coordinator' within GoodTime as the scheduling action took place. This field also allows you to capture those persons assigned to host a greet or walkout as part of a scheduled interview. You can also use email addresses to assist in filtering by specific users/interviewers.
- #Tag: Filtering by a tag (or tags) will present only schedulers that have the assigned tag. It is worth noting that this tag relates to the scheduler and not if the associated roles those interviewers scheduled included the listed tag(s). Using tag filters in the recruiting leaderboard report is most relevant when referencing demographic tags (like location or department relevant to the scheduler) as opposed to skill tags (which would be more relevant to the interviewers). Any additional filtering options will be listed here as they become available.
AI Job Categories: GoodTime employs an AI NLP (Natural Language Processor) in order to assist in providing you with the ability to filter options by Job Category such as 'Engineering', 'Marketing', or 'Sales' (for example). This AI Job Category filtering is the first step towards real-time benchmarking that will allow you to compare your own roles within a specific job category against GoodTime's broader customer base. Please note, when using an AI filter the table also updates to reflect those roles which our AI engine has grouped within the listed job category.
Table Overview:
Exclude Weekends: At the top left of the table view is a toggle that allows you to exclude weekends (defined as Saturday and Sunday) from the tabulated data.
Show Interview Type: Selecting the 'Show Interview Type' checkbox will update the table to show the count of 'Onsite' and 'Remote' interviews as opposed to a single total. NOTE: For GoodTime to recognize an interview as being 'Onsite' the interview template used to schedule that interview will need to have 'Onsite' toggled activated within the Candidate Calendar Event.
Scheduler: This is the person who performed the action (schedule, cancelation etc.). The date reflects the date when the action was performed. Clicking the ▶︎ arrow to the left of the Scheduler name provides details of the specific job title and ATS stage(s) that the scheduler is credited as having completed the recruiting action for.
Scheduled: This is the number of interviews the user scheduled in the specified time frame.
Rescheduled: This is the number of interviews the user rescheduled, using the reschedule button, in the specified time frame.
Updated: This is the number of interviews the user updated in the specified time frame. It captures any interview updates that were finalized by the 'Update' button being pressed. It doesn’t include updates made as part of a larger reschedule process where the reschedule button in GoodTime is pressed.
Canceled: This is the number of interviews the user canceled in the specified time frame.
Greet: This is the number of interviews where the user was assigned to/performed the greet. This information is included here as it is most common for the scheduler of an interview to be assigned to conduct the greet. In circumstances where someone other than the scheduler is assigned to conduct the greet, this will be obvious as the table will reflect a greet as the only recruiting action against their name.
Walkout: This is the number of interviews where the user was assigned to/performed the walkout. This information is included here as it is common for the scheduler of an interview to also be assigned to conduct the walkout. In circumstances where someone other than the scheduler is assigned to conduct the walkout, this will be obvious as the table will reflect a walkout as the only recruiting action against their name.
FAQ - Recruiting Leaderboard:
- Do the leaderboards show unique interviews or the total number of events?
- The recruiting leaderboard shows how many unique interviews went through the scheduling workflow (regardless of the number of events each interview has). This is counting the number of interviews scheduled during that time period. GoodTime begins counting from when something is actioned.
- What does the benchmark line on GoodTime show?
- These benchmarks are prorated for the number of schedulers. The benchmark line shows GoodTime customers' average based on the same number of schedulers within that time period.
- When an interview in the 'Queued' or 'Hold' stage is canceled, does this cancellation count towards the recruiting leaderboard?
- Queued interviews that are canceled do not count towards the recruiting leaderboard; Interviews in the hold stage that are canceled do count in the recruiting leaderboard
- For RC coverage, if one RC sends the request availability then another RC confirms the interview, how is that tracked on the recruiting leaderboard? Who would "get credit" in this case?
- Whoever is listed as the coordinator on the interview gets the credit. If you have fully automated your scheduling process using the request availability function, then the 'credit' will be automatically assigned to the coordinator once the candidate confirms the interview. If you have 'Require Review' on, then you can change the coordinator before confirming the interview to reassign the credit
- How are the rescheduled and updated numbers calculated?
- Reschedules are based on when you click 'Reschedule' in GoodTime. If you reschedule the same interview five times, it will show as '1' on the rescheduled column (because it counts the number of interviews). The same applies to updates.
- What happens if we put an interview on hold and it never materializes?
- Once the date of the interview has passed, we begin to track this as a cancellation.
- If a candidate is marked as confidential, do they not get counted toward the Recruiting Leaderboard?
- Confidential candidates will still be counted toward the Recruiting Leaderboard. For more visibility into this, you can update confidential access for individual users under the 'Team Tab'
- Why are certain stages showing as 'No Stage' on the recruiting leaderboard?
- If the candidate is not assigned to a specific stage in the ATS, then the leaderboard will pull it up as 'No Stage'
- Why do the number of interviews in the Recruiting Leaderboard and Turnaround Time not match?
- The Turnaround Time report only considers interviews where the Turnaround Time is greater than 0. This means it factors in Queued time + Hold time + Pending Candidate Response + In Review, so long as it is greater than 0 seconds. This means that the recruiting leaderboard will include interviews where the “Schedule Now” flow was used (interviews scheduled at the same time they are created), but the Turnaround Time report will not include these.
