4. Interviewer Training - Managing Trainees (Enroll, Schedule, Graduate & Report)

TL;DR: This article covers the day-to-day workflow for Coordinators and/or Training Program managers and how they can: add trainees to paths, adjust trainee class lists, scheduling trainees into interviews, graduating trainees when ready, and reporting on progress or trainees and training paths.
1. Trainee statuses
Each trainee will be in one of three statuses at any time:
- In Training – Actively working through classes in a path.
- Completed – Has finished all classes, waiting for coordinator review/feedback-based graduation.
- Graduated – Has received the graduation tag(s) and is ready to host interviews solo.
You can filter by status in the Training tab to quickly see who needs attention.
2. Enrolling trainees in paths
2.1. Manual enrollment
- Go to Training > In Training.
- Click + Add Trainee.
- Search for the employee you wish to add to the Training Path.
- Select the employee and click Next.
- Choose one or more training paths.
- Click Done.
The trainee is now in the In Training list for each path selected.
Tip: Use manual enrollment for training path pilots, exceptions, or smaller programs.
2.2. Auto-enrollment (overview)
To automatically enroll trainees when they meet certain criteria (e.g. tenure, tag assignment), you can use Auto-Enroll rules. This is covered in detail in the Automations & Advanced Workflows article.
3. Adjusting classes per trainee
Every trainee can have their own tailored class list, independent of the base path.
From the trainee’s profile:
- Add classes – e.g. add extra shadows or reverse shadows.
- Remove classes – e.g. skip reading for experienced interviewers.
- Duplicate a class – e.g. if a trainee got credit accidentally or needs to repeat a session.
- Mark a class as finished – to grant credit for training done outside of GoodTime.
Use these tools to merge legacy/manual training into GoodTime and make the path match real-world experience.
4. Scheduling trainees
There are two primary ways to schedule trainees into interviews:
4.1. During the scheduling workflow
When scheduling a candidate:
- Click Request Availability or Schedule Now.
- Choose an interview template that is linked to a training path.
> Linked templates show a purple graduation cap next to the event. - Click the + next to the event where you want to add a trainee and choose Trainee.
- Either:
> Click Select All Trainees to let GoodTime automatically pick the best available trainee, or
> Choose specific trainees by name. - Decide if the trainee should be Optional (recommended for small pools) or Required.
When scheduled:
GoodTime looks for trainees who are:
- Available at the candidate’s time, and
- Closest to completing their pathway.
4.2. From the Training Path (Schedule Class)
Use this when you want to “fill in” training opportunities for a specific trainee.
- Go to Training > In Training.
- Click the trainee’s name.
- In the relevant path, click Schedule Class next to the class you want to schedule.
- GoodTime shows a list of upcoming interviews that match the path’s linked templates/events.
- Select an opportunity and click Schedule, Confirm.
This workflow is especially helpful when:
- You have a small trainee pool.
- You want manual control over which candidate/session a trainee joins.
5. Graduating trainees
By design, completing all classes doesn’t automatically graduate a trainee – many teams want to do a quick check-in with the Trainee before they are graduated and asked to host an interview on their own.
Typical flow:
- Trainee completes all classes and/or passes all feedback checks.
- Their status moves to Completed and they appear in the Completed tab.
- A coordinator/Training Program Manager : Reviews their training history. Optionally confirms with hiring manager or bar raiser. Coordinator clicks Graduate: Graduation tags are added. Any configured tags are removed. Graduation email is sent. Optional auto-enroll into the next path is triggered.
If you prefer less manual oversight, you can configure paths to auto-graduate trainees when all conditions are met.
6. Reporting & exports
You can export training data to CSV for deeper analysis or sharing with managers.
Common use cases:
- Weekly/monthly email to hiring managers with:
- Who graduated.
- Who is in training and % completion.
- Tracking training throughput and bottlenecks.
- Auditing which interviews contributed to a trainee’s graduation.
From the training UI:
- Use export options (e.g. CSV download) where available to pull:
- Path names.
- Trainee statuses.
- History of classes and dates.
Note: If you only with to pull a report on the overall graduation rate and training throughput by Training Path (i.e. you do not want details of individual trainees), the GoodTime Training Insights Report tracks this data at the Training Path level.
